Subletting an apartment
Tenant owners who wish to sublet (rent out) their apartment must have written permission from the Board.

General
You can only sublet your parking spot at the same time as you sublet your apartment and then only to the same subtenant as the apartment.
The total time from submitting the application form until you receive approval is about two weeks provided the application is correct and complete.
Please note that the association charges a monthly administrative fee for subletting.
Valid reasons
Common valid reasons for subletting are:
- Working out-of-town or abroad. Approved for a maximum of three years with a maximum of one year at a time.
- Studies out-of-town or abroad. Accepted for as long as the studies last, with a maximum of one year at a time.
- Renting to a close relative. Approved for a maximum of three years with a maximum of one year at a time.
- Trial cohabitation. Approved for a maximum of one year with a maximum of six months at a time.
- Waiting for a planned move before retirement. Approved for a maximum of two years with a maximum of one year at a time.
- Longer stay abroad. Approved for a maximum of one year at a time.
- Hospitalization or other accommodation due to age or illness. Approved for a maximum of three years with a maximum of one year at a time.
- "Declining market" is also temporarily approved. Approved for a maximum of one year with a maximum of six months at a time.
The tenant must have the intention to return to the apartment in order to use the above reasons.
If the reasons for subletting are already known at the time of the acquisition of the apartment, the Board may consider these reasons to be weak and may reject the application.
Definitions of reasons
- The definition of out-of-town is at least an 80 km commute one way and at least 90 minutes of travel time.
- Close relatives are defined by the Rent Board as children, siblings, parents, spouses, cohabitants and registered partners. Suitable documentation is proof of identity, e.g. the Swedish Tax Agency's family certificate.
- A longer stay abroad is defined as three months or more.
- Proof of age or illness is provided by a medical certificate or equivalent.
- Declining market means that the property has been on the open market for some time through a registered estate agent. Supporting documentation of these efforts is required.
Fee
The association charges an administrative fee which is currently SEK 239 per calendar month for the entire tenancy.
The fee is adjusted annually based on five per cent of the current price base amount per year. For 2024 the fee is SEK 2.865:- i.e. SEK 239:- per month (was SEK 5.350:- for 2023).
No other fees are charged, neither at the beginning nor at the end of the tenancy.
Procedure
The following procedure applies to the letting of an apartment:
Tenant owner
- Writes an application for permission to sublet with the named subtenant. Please use the form below and make sure to use the correct apartment numbering.
- Obtains copies of employer's, student's, or medical certificate supporting reasons for subletting.
- Alternatively, complete a certificate for trial cohabitation.
- Alternatively, compile documents confirming the estate agent and how long the property has been on the market.
- Send the application form and other documents to our administrator at info.gbg@phmredovisning.se.
- Lease agreements with the subtenant can be signed before permission is granted but must include a letter stating that the agreement is only valid once approval has been obtained from the association.
Administrator
- Registers the documents.
- Provides the Board with the documents.
Board
- Decides to grant or refuse the application.
Administrator

Notifies the applicant of the Board's decision to approve or reject the application.
Tenant owner
- Draws up a contract for subletting the apartment (lease) with the proposed subtenant. You can use the form below.
- Permission for subletting must be attached to the contract with your subtenant.
- Sends a copy of the agreement to our administrator at info.gbg@phmredovisning.se.
- Checks with their insurance company if any extra insurance is needed. The association has an additional homeowner's insurance policy.
- Registers at the temporary new address.
- Registers change of address and forwarding of mail.
- Informs the subtenant about the association's rules, regulations and rules for Orangeriet and ensures that all information from the association reaches the subtenant.
- Possibly gives someone power of attorney to represent them in contacts with the association, e.g., in case of more extended stays abroad.
Administrator
- Registers the documents.
- Registers a temporary new address as requested by the tenant owner.
- Posts the subtenant's name on the door, post box, stairwell, and door phone.
- Sends payment notice, as usual, every month but with an additional administrative fee.
At the end of the rental period
It is the responsibility of the tenant owner to reapply for a subletting permit. The Board will consider the tenant owner to be living in the apartment again, and the manager will again post the tenant owner's name on the door, mailbox, stairwell, and door phone.
Ensure that the subtenant removes himself as a registered resident of the apartment. Otherwise, the Board may consider that there is an unauthorized subletting. If the subtenant does not do this voluntarily, you must notify Skatteverket (Swedish Tax Agency) and the Board as soon as possible.
If the rental period needs to be extended
Submit a new application in good time before the end of the rental period, following the procedure above.
If you need to change your subtenant
If a new subtenant moves in, a new application must be submitted, even during the period for which permission has already been granted.
Submit a new application as soon as possible, following the procedure above. Typically, the Board will only approve the same period for which permission has already been granted, but if there is a short period left in the lease, this may be discussed. Please get in touch with the Board regarding your particular case.
How long is the rental period valid?
Write down in the contract how long it is valid. Also, remember to synchronise the rental period in your contract with the subtenant with the period approved by the Board. If you have not regulated the duration of the subletting, it will be for an indefinite period. Someone will have to terminate the agreement for it to expire.
If the subletting is for a fixed term, it will automatically end at the end of the lease term without the need to terminate it. But even a fixed-term contract can be terminated early. The subtenant must give one month's notice. For the landlord, i.e. you as the tenant, the notice period is three months. A notice of termination is always counted from the following month. If a tenancy agreement is terminated on 22 September, the notice period starts on 1 October. The length of the period of notice given by each party is the same both for the termination of an open-ended contract and for the early termination of a fixed-term contract.
The subtenant is never entitled to have the subletting extended against the tenant's will, regardless of how long he or she has lived in the apartment. If the subtenant terminates the contract, the subtenant must move out at the end of the notice period.
If the secondary tenant does not fulfil his/her obligations during the rental period, the rules of the Tenancy Act apply. This means that if the rent is not paid on time, if the flat is not looked after or if the tenant disturbs his neighbours, the tenant can be terminated immediately, provided that this is done in the way specified in the Tenancy Act.
If the rental period ends early
It is the responsibility of the apartment owner to notify the association's manager if the subletting will be terminated early. Do this well in advance of the end of the month. If not, the association will consider the tenancy for the period specified on the application.
If the subtenant is still registered in the apartment, the Board will consider that the subletting is ongoing.
The administrative fee will continue to be charged if you have not given notice of early termination of the subletting.
